Privacy policy

ALBERT EINSTEIN ELEMENTARY PTSA 2.8.24 (“we”) operates the einsteinptsa.org website and event-registration service.
Information We Collect
We may collect:
Account information, including name, email address, phone number, authentication identifiers, and security settings.
Household and participant information supplied by an adult, including children’s names, grades, teachers, registrations, and accommodation information.
Membership, order, payment-status, communication-preference, and administrative records.
Technical and security information necessary to operate, protect, and troubleshoot the service.
Payment-card information is entered directly with our payment processor and is not stored by us.
Google and Microsoft Sign-In
When you choose federated sign-in, we request only basic identity information:
Google: account identifier, email address and verification status, given name, and family name.
Microsoft: account identifier, email address and verification status, given name, and family name.
We use this information solely to create, secure, link, and authenticate your account. We do not request access to email messages, contacts, calendars, files, or directories. We do not retain provider access or refresh tokens.
einsteinptsa.org's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.
How We Use Information
We use information to:
Provide accounts, memberships, registrations, payments, receipts, rosters, and requested communications.
Administer activities and provide relevant information to authorized personnel when necessary.
Fulfill orders and deliver classes, activities, memberships, and other requested services.
Prevent fraud, protect accounts, enforce policies, and maintain required operational and audit records.
Comply with legal, tax, accounting, and safety obligations.
We do not sell personal information, use it for targeted advertising, or use Google or Microsoft identity information to train artificial-intelligence or machine-learning models.
Disclosure of Information
We disclose information only as necessary:
Washington State PTA: When you obtain or renew PTA membership, we share the member’s name, email address, and phone number for membership administration and related PTA purposes.
Order and activity fulfillment: We share relevant order or registration information with vendors and class or activity providers as needed to fulfill purchases, deliver classes, maintain rosters, or provide requested services.
Service providers: We use providers for hosting, authentication, email delivery, and payment processing under appropriate contractual or legal protections.
Legal and safety purposes: We may disclose information when required by law or reasonably necessary to protect users, the organization, or others.
With your direction or consent.
We limit disclosures to information reasonably necessary for the stated purpose. We do not sell personal information or disclose it for targeted advertising. Google and Microsoft process information under their own privacy policies when providing authentication.
Cookies and Security
We use cookies and similar storage necessary for authentication, security, and requested transactions. We do not use third-party advertising, behavioral analytics, session-recording, or tracking pixels.
We apply reasonable administrative, technical, and organizational safeguards, including encrypted connections, access controls, authentication protections, and restricted access to sensitive records. No system can guarantee absolute security.
Retention and Deletion
Unless deletion is requested, records may be retained indefinitely for organizational continuity. You may request deletion through your account’s privacy page or by contacting us below. Active registrations must first be canceled or completed.
When eligible, we delete or pseudonymize household and participant personal information. We may retain limited financial, transaction, security, membership, and audit records when required for legal, accounting, fraud-prevention, or organizational purposes. Provider-linked identity information is removed when the associated account is deleted, subject to those exceptions.
Information already provided to Washington State PTA, vendors, or activity providers is governed by their respective retention obligations and privacy practices.
Children
The service is intended for use by parents, guardians, and other adults—not directly by children. Adults may provide information about children when registering them for activities. Contact us if you believe a child submitted information without appropriate adult authorization.
Your Choices
You may review or update account information, manage communications and linked sign-in methods, or request access, correction, or deletion through the available account controls or by contacting us. Applicable law may provide additional rights.
Changes to This Policy
We may update this policy when our practices change. We will post the revised policy with a new effective date. Material changes affecting Google user data will be disclosed before that data is used for a new purpose.
